Sans Software LLC ("Spot", "we", "us") makes Spot, the dog training and care app. This policy covers the iOS app, the web app at app.trainwithspot.com and our website at trainwithspot.com. It explains what we collect, why we collect it, which companies help us handle it, and what you can do about it. If something is unclear, ask us.
What we collect
- Contact info: your name and email, and how you sign in (email, Apple or Google).
- Quiz answers: what you tell us about your dog and your goals before you sign up, and the email you give us to save your plan.
- Your dog and household: your dog's name, age, breed, weight and photos, and who is in your household.
- Your content: care log entries, notes, reminders, records, documents, photos and clips you upload, updates from sitters, and your chats with Coach.
- Training activity: lessons, practice sessions, streaks, Treats and progress.
- Purchases: your plan, what you paid and when it renews. Stripe and Apple handle your card details. We never see or store full card numbers.
- Identifiers: a user ID, a device ID and a push notification token.
- Usage data and diagnostics: screens you view, taps, crashes and performance. We also work out an approximate location, such as your state, from your IP address.
- Ad and campaign info: which ad or link brought you to Spot, including click IDs.
- Messages you send us, such as support emails.
How we use it
We use your information to run Spot, build a plan for your dog, send the reminders and notices you turned on, take payments and stop fraud, answer support requests, find and fix bugs, learn which features help, measure our ads, and follow the law.
If you are in the EU or UK, the law asks us to name a legal basis. We use your information to provide the service you signed up for (contract), to keep Spot safe and improve it (legitimate interests), to meet legal duties such as tax records (legal obligation), and with your consent where the law requires it, such as for marketing emails.
Companies that help us run Spot
These service providers handle data for us. Each one gets only what it needs for its job.
- Railway: hosts our servers and database.
- Vercel: hosts trainwithspot.com and the web app at app.trainwithspot.com.
- Cloudflare: stores the photos, clips and documents you upload, delivers lesson content, and runs our domain's DNS and email forwarding.
- Stripe: takes web payments and manages web subscriptions.
- RevenueCat: keeps track of App Store subscriptions and links them to your account.
- Superwall: shows the paywall in the iOS app and tests different versions of it.
- Expo: delivers push notifications and app updates to the iOS app.
- Station: product analytics, such as which screens people use. Station is made and run by Sans Software, the company behind Spot.
- Google: Sign in with Google, and the Gemini API, which powers Coach and reads documents you scan.
- Meta: measures our ads through its pixel, its app SDK and its conversions API.
- TikTok: measures our ads through its pixel and its events API.
- Resend: sends our emails.
- Sentry: crash and error reports.
Apple processes data when you sign in with Apple or buy through the App Store, under its own policies. If this list changes, we update this page and the date at the top.
Coach and AI
Coach and document reading use Google's Gemini API. When you chat with Coach, we send your message, any photo you attach, and context that helps it answer: your first name, your dog's profile (such as name, age, breed, sex, weight and the goals and issues you told us about), a summary of recent care log entries and notes, skills in progress, things Coach has saved about your dog, and records such as current medications and vaccines.
We do not send your email, address, phone number, payment details, insurance policy or member numbers, or the names of other people in your household. When you scan a document, its pages go to Gemini so Spot can fill in a record. You review the result before it is saved.
We use Google's paid API. Under our terms with Google, your content is not used to train its models. We keep Coach chats so you can read them again, and you can delete them. If you tap Report a problem on an answer, we read that chat to fix the problem. Coach can be wrong. Our terms explain what it can and cannot do.
Partners and sitters
People you invite to your household can see what their role allows. A sitter who opens your link can see the care plan and log care. We ask a sitter for a first name only. What they log is saved in your dog's care log. You can end a sitter link at any time.
Ads, cookies and tracking
The Meta and TikTok tools on our websites and in our app receive online identifiers and events, such as a page view, starting the quiz, starting a trial or buying. With those events we may send a scrambled (hashed) copy of your email, your IP address and the ad click ID, so they can match the event to the ad you saw. Under some state laws this counts as sharing data for targeted advertising. We do not sell your personal information for money.
On iPhone, Spot asks for your permission before tracking you across other companies' apps and sites, and it respects your answer. On the web, we use cookies and local storage to keep you signed in, remember your choices and measure our ads. You can block them in your browser, but some features may stop working. To opt out of sharing for advertising, email us.
How long we keep it
We keep your information while your account is open. When you delete your account, we delete your data as described below. We keep some records longer when the law requires it, such as purchase records for tax, or to prevent fraud and settle disputes. Copies in our providers' backups drop off on their own schedule.
Delete or download your data
- Delete your account in the app: open the Pet tab, then Settings, then Delete account. If you cannot sign in, email us from the address on your account. Our data deletion page has the steps.
- We delete your account right away. If you are the only person in your household, we also delete the household, your dogs, records, documents and photos. If someone else co-owns your household, they keep it and your dogs' shared history.
- Deleting your account cancels a web subscription. It does not cancel an App Store subscription, so cancel that in your Apple Account settings first.
- Download your data in the app with Export my data in Settings. You get a file with everything you've logged. It is free. You can also ask by email and we will send it within 30 days.
Your rights
Depending on where you live, you may have the right to see, correct, delete or get a copy of your personal information, to object to or limit how we use it, to withdraw consent, to opt out of targeted advertising, and to appeal our decision on your request. An authorized agent can ask for you. Email us at support@trainwithspot.com. We may need to confirm it is you. We answer within 30 days, and if we need more time we will tell you why. We will not treat you worse for using your rights. You may also complain to your local data protection authority.
Age
Spot is for people who are 13 or older. We do not knowingly collect information from children under 13. If you think a child has given us information, email us and we will delete it.
Security
We encrypt data in transit. Our storage provider encrypts files at rest, and we add our own encryption for the most sensitive fields, such as insurance numbers. We check who is allowed to see a document each time it is opened. No service is perfectly secure, so we cannot promise that nothing will ever go wrong.
Where your data goes
We are based in the United States, and we and our providers process data there and possibly in other countries. Where the law requires it, we use approved safeguards for those transfers, such as standard contractual clauses.
Changes and contact
